If you want to cancel your booking you should contact us as soon as possible. Cancellations are subject to review based on the timing and reason for the request
There is a deposit to pay when booking. If cancellation is done less than 6 weeks before the start of the retreat, no refund is given. Refunds for eligible cancellations will be processed within 14 business days.
Our cancellation policy serves the purpose to cover the costs for our vendors as well as compensate us for the risk that we may not be able to resell your spot.

Booking Process:
To secure a reservation, clients must provide accurate personal information and pay a deposit of 50% of the total price. Bookings are considered confirmed only upon receipt of this deposit. Once confirmed, clients will receive a booking confirmation via email.
Payment Terms:
○ Deposit: A deposit of 50% of the total price is required at the time of booking.
○ Final Payment: The remaining 50% of the total price is no later than the first day of the scheduled activity or service.
○ Payment Methods: Accepted methods include credit card, bank transfer, or cash (if specified).
○ Late Payments: Failure to complete the payment may result in cancellation of the booking without refund of the deposit.
Cancellations and Refunds:
○ Cancellation Notice: Clients must notify cancellations at least six weeks before the scheduled start date.
○ Refund Policy: If cancellation occurs six weeks or more before the start date, 50% of the deposit will be refunded.
○ Non-Refundable Clause: Cancellations made less than six weeks before the start date are not eligible for any refund.
All cancellations must be communicated in writing (email or registered mail). Refunds will be processed within 14 business days.
If we need to cancel your booking due to unforeseen personal circumstances, we will issue a full refund of any payments made, without any deductions.
Changes and Amendments:
Clients may request changes to their booking, subject to availability and possible additional charges.
Agency’s Right to Change: The agency reserves the right to modify itineraries due to unforeseen circumstances (force majeure, weather conditions, etc.). Clients will be informed promptly, and alternatives or partial refunds may be offered.A fee may apply for booking amendments, depending on the timing of the request.
The Cottages Spain’s liability is limited to the value of the services booked through us and does not cover third-party service failures beyond our control.
Intermediary Role: The Cottages acts solely as an intermediary between clients and service providers (e.g., hotels, programmed activities, etc). The agency is not responsible for delays, cancellations, service failures, or damages beyond its control.
Travel Insurance: Clients are strongly advised to obtain comprehensive travel insurance covering cancellations, medical emergencies, and other potential risks.
The agency’s liability is limited to the value of the services booked through it.
Client Responsibilities:
Clients are expected to:
Provide accurate personal information during the booking process.
Ensure all necessary travel documents (e.g., passports, visas) are valid.
Follow local laws and respect cultural norms during their trip.
Communicate any special needs or requirements at the time of booking.
Maintain respectful behavior towards staff and property; failure to do so may result in termination of services without refund.
Force Majeure:
The Cottages Spain is not liable for failure to perform obligations due to events beyond its control, including but not limited to natural disasters, pandemics, strikes, or government actions. In such cases, the agency will attempt to reschedule or offer a voucher for future use. Refunds may be partial, depending on vendor policies.
Complaints and Dispute Resolution:
Clients who wish to lodge complaints should do so in writing within seven days of the end of their trip. The agency will strive to resolve disputes amicably. If a resolution cannot be reached, disputes will be subject to mediation or arbitration before any legal action. All disputes shall be governed by the laws of Spain, and any legal proceeding will take place in Aracena, Huelva, Spain
